Start with the experience, not the floor plan

What should a guest do when they arrive? They might browse a collection, watch a presentation, try a product, meet the team or create their own content. Define the main activity first, then list the areas it needs.

A useful initial brief identifies:

  • The product or brand being featured

  • Whether attendance is by invitation or open to the public

  • The expected number of guests and whether they will be standing or seated

  • The displays, demonstration stations and presentation areas required

  • Any catering, photography, videography or other participating vendors

  • The event start and finish times, plus setup and pack-down time

Match guest numbers to the layout

Plan the visual presentation

The studio’s white and black cyclorama environments can support different visual directions. A brand might favour a bright, clean display against the white cyclorama, a more dramatic presentation near the black corner, or a mix of areas for browsing and content capture.

The overhead truss and installed RGBWW lighting provide options for colour and atmosphere. Controllable natural light is also available. If your concept requires additional fixtures, technical installation or a particular look, include that in the brief rather than assuming it is part of standard event hire.

If you plan to capture launch photographs or video, decide in advance which moments matter: the product display before doors open, guest interactions, a presentation, interviews or short social clips.
